The BCA Pool League member sanctioning process is an integral aspect of your league. Your players will receive an array of membership benefits and you want them to take advantage of those benefits as quickly as possible. Fortunately, the FargoRate League Management System (LMS) makes the process easy.
Any person who plays more than one match in your league requires a BCA Pool League membership. League Operators are responsible for timely payment of all membership fees even if they fail to collect them. Below, you will find a tutorial to help guide you through the membership process and best practices to keep your league in good standing. Your LMS Sanctioning Report is a great tool for tracking the membership fees of your players and indicating to the BCA Pool League which players you are paying for.

Next, select "Sanctioning Report."
You should see a list of all players in your league, their weeks played, and their sanctioning status. Across the top, you will also see information such as the Total Number of Players, Number of Billable Players, Due from Players, Paid by Players, Remitted, and Sanctioned. See below for a full explanation of these terms.
DEFINITIONS
Sanctioning Year: BCA Pool League memberships operate on a calendar year. In this example, we are displaying the complete players list for this league for the 2024 calendar year (Jan 1 - Dec 31, 2024).
Total Number of Players: The number of players who have been added to your league.
Number of Billable Players: The number of players who have played more than one match in your league. Anyone who plays more than once in your league must become a BCA Pool League member. Therefore, they show as "billable."
Due from Players: The total amount of membership fees you have not yet collected from your players. This includes all players who have played more than once and have a status of "None."
Paid by Players: The total amount of membership fees you have collected from your players. This includes all players who have a status of "Paid."
Remitted: The total amount of membership fees that you have remitted (mailed a check or authorized a credit card charge) to the BCA Pool League but has not yet been received or processed. This includes all players who have a status of "Remitted."
Sanctioned: The total amount of membership fees that the BCA Pool League has received and processed.

Remitted: The total amount of membership fees that you have remitted (mailed a check or authorized a credit card charge) to the BCA Pool League but has not yet been received or processed. This includes all players who have a status of "Remitted."
Sanctioned: The total amount of membership fees that the BCA Pool League has received and processed.
SANCTIONING STATUS
To change a player's sanction status, select the box in front of the player's name (1). Text will display at the top left showing how many players you have selected (2). Text will also display at the top right with the option to "Change Status." To change the sanctioning status of all players selected, click "Change Status" (3).
- Player status for the calendar year always begins as "None."
- Once you have collected the membership fees from your players, change their sanction status from "None" to "Paid." This is for your information and tracking purposes only.
- Once you have remitted a membership payment to the BCA Pool League, change the player sanction status from "Paid" to "Remitted" for those players included in that payment. Once payment is received, the BCA Pool League will sanction players who are marked as "Remitted" on your LMS player list and change their sanctioning status to "Sanctioned."
To change a player's sanction status, select the box in front of the player's name (1). Text will display at the top left showing how many players you have selected (2). Text will also display at the top right with the option to "Change Status." To change the sanctioning status of all players selected, click "Change Status" (3).
A pop-up will appear allowing you to change the status of the selected players. In this example, we have collected the membership fees from the three players and we are changing their status to "Paid." Please note that League Operators cannot change the status to "Sanctioned." Only administrators have the ability to do that once membership fees have been received and processed by the BCA Pool League.
TIPS & REMINDERS
- You are required to remit membership fees to the BCA Pool League no later than the fourth week of each session and update them every month thereafter.
- Only change player's sanctioning status from "Paid" to "Remitted" once you have actually sent the membership fees to the BCA Pool League. We will only sanction players with a status of "Remitted."
- Do not change any other players' status to "Remitted" until we have processed your last payment and changed the status of those players from "Remitted" to "Sanctioned."
- For players that request a waived status in your league (i.e. they have told you they are already sanctioned through another league), it is your responsibility to first check their membership status by using our Membership Lookup tool. Enter just the first few letters of the person's first & last name or their membership number. For example, instead of "Jonathan" try "Jon" or variations such as "Mike" and "Michael." If it displays "No" in the Currently Sanctioned column, he or she is not sanctioned and you must collect and remit the membership fee. If it displays "Yes" in the Currently Sanctioned column, email a request to waive the person's membership fee to [email protected].
- Review your Sanctioning Report every week and collect membership fees from all new players quickly.
